Pacific Portfolio is hiring for an Office Administrator. This position provides the opportunity to join the firm at a junior level, in support of our clients and associates, allowing the successful candidate the ability to learn wealth management from experienced team members in a boutique setting.
Focus
Make clients, guests and employees feel welcome
Ensure front desk is attended at all times during normal business hours
Maintain the appearance of all common areas
Perform other administrative duties
Assist associates with projects as needed
Responsibilities
Phones: answer and redirect incoming phone calls
Guest Services: greet and assist guests to the office in a professional, friendly and welcoming manner, notify guest contact, offer refreshments, validate parking
Mail Pick-Up and Distribution: Responsible for the distribution of incoming and outgoing mail
Shipping and Receiving: FedEx/UPS preparation/tracking and receive/track incoming packages FedEx/UPS mailings
Employee Services: conference room preparation and clean up; conference room calendar management
General Clerical Duties: binding and scanning client related materials; provide assistance to employees with various requests and ad hoc projects that may include creating, maintaining and editing documents, spreadsheets, files and presentations
General Administrative Duties: keep common areas, kitchen and workroom area clean; kitchen supplies and stocking; office supplies inventory management; troubleshooting office equipment, arranging for maintenance
Internal Event Coordination: assist with planning and coordinating office activities/events
Qualifications
Associate degree or equivalent combination of education and relevant experience
Proficient user of Microsoft Office applications: Outlook, Word, Excel, PowerPoint
Minimum of 1 year of work experience in a professional office environment
